# Adding sessions

## In this article, you’ll learn how to add sessions to your event, including adding them one at a time, importing them from a spreadsheet, and importing them together with your speakers.

Sessions put each speaker’s talk title and time slot into their images, and their tracks decide which track assets reach a speaker.

[**How sessions work**](https://resources.gleanin.com/knowledge/adding-sessions#how-it-works)
[**Ways to add sessions**](https://resources.gleanin.com/knowledge/adding-sessions#ways-to-add)
[**Adding a single session**](https://resources.gleanin.com/knowledge/adding-sessions#single-session)
[**Importing sessions from a spreadsheet**](https://resources.gleanin.com/knowledge/adding-sessions#session-sheet)
[**Importing sessions with their speakers**](https://resources.gleanin.com/knowledge/adding-sessions#sessions-speakers)

### **How sessions work**

Your sessions live on the event, under **Data** \> **Sessions**. What you enter for each session feeds the rest of Gleanin:

- Title and schedule - shown in the images made for the session’s speakers.
- Tracks - group your sessions by theme. An asset can be shown to everyone speaking in a track.
- Speakers - the speakers on the session get its details in their images.

The schedule is free text, such as “Tuesday 9:00–10:00am”, so you can write the date and time however you like.

### **Ways to add sessions**

When you click **Add sessions**, you will see four options:

- **Add a single session:** enter one session’s details by hand. Best if you only have one or two sessions to add or you’re trying Gleanin out
- **Import multiple sessions:** import your sessions from a spreadsheet. Best when you have your full session list but not your speaker assignments yet
- **Import speakers & sessions:** import your speakers and sessions from one spreadsheet, so each speaker is linked to the right session
- **Sync via integration:** connect your event platform so your sessions stay up to date automatically (available with Gleanin Pro)

### **Adding a single session**

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Sessions**
4. Click **Add sessions**
5. Click **Add a single session**
6. Enter the session’s details:
     1. **Title** (required)
     2. **Schedule**
     3. **Tracks** (click the **+** button to choose its tracks)
     4. Custom fields, if your event has them
7. Click **Create session**

You will see the message **Session created**, and the session will appear in your list of sessions.

Note: To create a new track while adding a session, click the **+** button next to **Tracks**, then **Create new track**. Enter the **Track name**, pick a **Color** and click **Create track**.

Speakers aren’t added on this form. To connect them, please see [**Managing your sessions**](https://resources.gleanin.com/knowledge/managing-your-sessions#connecting-speakers).

### **Importing sessions from a spreadsheet**

If you have many sessions, you can add them all at once with the session import.

#### **Data preparation**

Your spreadsheet can include the following columns, in any order:

1. Title (the only required column - a row without a title will be skipped)
2. Schedule
3. Tracks (separate several tracks with commas - a track that doesn’t exist yet is created)
4. Custom fields (available with the Customisation add-on or Gleanin Pro)

Including a heading row helps Gleanin match the columns for you. To start from an example, click **Download example spreadsheet** or **Copy example data** on the import screen.

#### **Data paste & column mapping**

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Sessions**
4. Click **Add sessions**
5. Click **Import multiple sessions**
6. Choose how to add your data:
     1. **Paste data:** copy the rows from your spreadsheet, including the heading row if you have it, and paste them into the box
     2. **Upload CSV:** upload your spreadsheet saved as a .csv file
7. Check that **First row is a heading row** is switched on if your data has column headings, and off if it doesn’t
8. Click **Next: Map columns**

On **Map your columns**, Gleanin matches each column to a field where it can. Check them, and change any that aren’t right using the dropdowns:

- Choose **Ignore this column** for a column you don’t want. It is marked **Not imported**
- If you choose a field that another column already has, you will be asked to confirm. Click **Map to "…"** to move it, and the other column won’t be imported
- **Title** needs to be mapped before you can continue

When you’re happy with the mapping, click **Next: Review**.

Note: If your sheet also holds your speakers, click **Import speakers & sessions** under **Are your speakers in the same sheet?**.

Note: You can click **Start over** at any step before importing to clear your data and go back to the first step.

#### **Review and import**

On the **Review** step, the **Match** column shows how each row compares to your existing sessions:

- **New:** it will be added as a new session
- **Update:** it already exists and its tracks or custom fields will be updated. The row shows the details **Before** and **After**
- **Identical:** it already exists and nothing has changed, so it will be skipped
- **Error:** something is wrong with the row, such as a missing title, so it will be skipped. The problem is listed under the table

To leave a row out, set its **Action** to **Skip**.

To finish, click **Import X sessions**. When the import has finished, you will see the **All done!** screen with the number of sessions imported.

Please keep in mind that you can’t update sessions in bulk with the import. Gleanin recognises a session only by its exact title and schedule, so even a small change in your spreadsheet makes it look like a new session, and it will be imported as a second copy. To change a session, please edit it individually.

Note: This import doesn’t connect speakers to your sessions.

#### **Adding more sessions later**

Simply add the new sessions to your original spreadsheet and import it again. Sessions that haven’t changed are shown as **Identical** and skipped, and the new ones are shown as **New**.

### **Importing sessions with their speakers**

If one spreadsheet holds both your speakers and your sessions, you can import them together, with each speaker linked to their sessions:

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Sessions**
4. Click **Add sessions**
5. Click **Import speakers & sessions**

The rest of the steps are the same as starting from your speakers. Please see [**Adding speakers to your event**](https://resources.gleanin.com/knowledge/adding-speakers#importing-speakers-and-sessions) for how to lay out your spreadsheet and run the import.

Note: A session that hasn’t changed is skipped, so a new speaker isn’t linked to it by the import. To add a speaker to an existing session, please see [**Managing your sessions**.](https://resources.gleanin.com/knowledge/managing-your-sessions#connecting-speakers)
