Attendee campaign assets
In this article, you’ll learn how to create the assets your attendees share, including personalised assets you design in the editor and ready-to-share images you upload.
An asset is the image an attendee shares. Your campaign’s first asset is created along with the campaign, and you can add more from the campaign page at any time.

How assets work
There are two kinds of assets:- Personalised asset - attendees add their photo, their quote and their own edits before sharing. You start from one of our templates and design it.
- Ready-to-share asset - you upload an image, and attendees share it exactly as it is.
Every asset belongs to one of three formats, decided by its shape:
-
Landscape: 1200 × 628 pixels
-
Portrait: 1080 × 1350 pixels
-
Story: 1080 × 1920 pixels
A campaign can hold up to 6 assets, two in each format. Each format can have only one personalised asset, so a second asset in the same format is ready-to-share. When a format has two assets, attendees get to pick between them.
Note: Channels are set per format, not per asset, so both assets in a format are offered on the same channels.
Creating your first asset
-
Go to the Event
-
Click Attendee Campaigns on the left-hand side menu
-
Click Add campaign (or Create a campaign if the event has none yet)
-
On the Campaign step, enter the Campaign name, choose the language and click Continue
-
On the Asset step, under Asset types, click Personalised asset or Ready-to-share asset
-
Choose a look and a template, or upload your file
-
Under Where attendees can share it, click a channel to add or remove it. The channels that suit your asset’s format, plus Email and SMS, are selected to start with
-
Click Create and continue
Please keep in mind that Create and continue adds the asset to your campaign and makes it live on the channels you picked straight away. After that, the Campaign and Asset steps are locked, so you can’t go back to them. To use a different template, click Change template on the next step.
A personalised asset goes on to Design your asset. A ready-to-share asset has nothing to design, so it goes straight to Sharing. For the rest of the steps, please see Setting up and configuring your attendee campaign.
Creating a personalised asset
You start from a look, the one closest to what you want:
-
Classic: a round photo beside a quote
-
Spotlight: their photo lifted off its background for a bold, standout look
-
Full photo: a photo of their choice fills one side, words on the other
-
Quote only: just their words, no photo needed
-
Name badge: their photo with their name and job title underneath
Note: A look with no templates yet is shown, but you can’t select it.
To create a personalised asset, follow the steps below:
-
Under Asset types, click Personalised asset
-
Under Pick a look to start from, click a look
-
Under Choose a template, click a template. Its format, for example Landscape, decides the size of your asset
You can edit everything about the template on the next step.
Uploading a ready-to-share asset
Please have your file ready:
-
A PNG, JPG or GIF, under 5 MB
-
In the same proportions as one of the three formats. It doesn’t have to be the exact size, so a larger export of the same shape is fine
To upload a ready-to-share asset, follow the steps below:
-
Under Asset types, click Ready-to-share asset
-
Under Upload your asset, click Add the asset to share
-
Choose your file
Gleanin checks the file’s shape straight away and picks its format from it. If it doesn’t match any of the three formats, you will see the message: This asset does not match any of the three formats.
It needs the same proportions as 1200×628, 1080×1350, 1080×1920 — any size will do.
Designing your personalised asset
You design your personalised asset in the editor. It opens on Design your asset when you create a campaign, and from the pencil button (Edit) on the asset’s card on the Assets tab.
The editor has Layers on the left, the image in the middle with a toolbar under it, and the settings for the element you select on the right.
Every element is either:
-
Fixed: the same for everyone, such as your logo or event name
-
Personalisable: each attendee fills it in themselves, such as their photo or quote
The editor always opens in Basic mode, where you can move and resize elements, change bold, italic, underline and text alignment, replace the background and your logo, and show or hide elements.
Switch on Advanced mode at the top to also change text, colours, fonts and sizes, set what attendees are asked, change the placeholder photo, add text, images and shapes, and change the order of elements.
Note: The first time you switch on Advanced mode, you will see You're entering advanced mode. Click Continue to switch it on.
Moving and arranging elements
-
Move an element by dragging it. It snaps to other elements and to the edges and centre
-
Resize it by dragging a corner. Hold **Shift** to keep the proportions
-
Select several by holding Shift while you click. Line them up with Align to each other or Align to canvas
-
Show or hide an element with the eye in Layers
-
Undo, Redo and Reset to original are in the toolbar under the image
Note: Elements can be hidden, but not deleted.
Changing the background and your logo
-
Click Background in Layers, or click your logo on the image
-
Drop in a new image, or click Choose from library to use one from your media library
Changing text
-
Switch on Advanced mode
-
Click the text
-
Change its content, colour, font and size on the right
Note: To use your own font, click Upload font… in the font list. It’s added under Your fonts. Your own fonts need a plan that includes custom fonts.
Setting what attendees are asked
-
Switch on Advanced mode
-
Click the attendee’s photo, or a personalisable text such as the quote
-
Click Edit attendee form
-
Enter the Question to ask the attendee
-
For a photo, choose its Photo sources: Upload from device, Take a selfie and Import from LinkedIn, and whether to Remove background
-
For a text, you can add a Placeholder, a Character limit and Suggested answers. For each suggestion, enter a Button label and a Suggested answer, then click Add suggestion
-
Click Save changes
You can check how it looks in the Attendee preview next to the form.
Please keep in mind that Import from LinkedIn is only available for photos up to 350px, because LinkedIn only shares a small photo. If you make the photo bigger, it’s switched off. It also can’t be combined with Remove background.
Adding text, images and shapes
-
Switch on Advanced mode
-
In the toolbar under the image, click Add text, Add image or Add shape
-
For text or an image, click Fixed or Personalisable, then fill in the content
-
For a shape, click Rectangle, Ellipse or Line
Changing the template
While creating a campaign, on Design your asset:
-
Click Change template
-
Click another template
Please keep in mind that the new template replaces the old one, and your changes to the old one are lost. To go back without changing it, click Keep current template.
Saving your changes
When creating a campaign, click Continue. Your design is saved before you move on.
On the campaign page:
-
Click Save to keep your changes. You will see the message Image saved.
-
Click Discard to undo them
-
Click Done to go back to the campaign
If you move away with unsaved changes, you will see You have unsaved changes. Click Save and continue or Discard and continue.
Adding another asset
-
Go to the Event
-
Click Attendee Campaigns on the left-hand side menu
-
Click your campaign. The Assets tab opens first
-
In the row for the format you want, click Add landscape, Add portrait or Add story (or Add second landscape if the format already has one asset)
-
If both kinds are offered, choose Personalised asset or Ready-to-share asset
-
Pick a look and a template, or click Add the asset to share and choose your file
-
Click Add asset
A note at the top tells you which channels the new asset will be offered on. It joins the format’s channels if the format already has some, or starts on the channels that suit its shape.
A ready-to-share asset appears on the Assets tab straight away. A personalised asset opens in the editor so you can design it.
Note: If the format already has a personalised asset, only a ready-to-share asset can be added. Your file must be the same shape as the format.
Editing, replacing and removing assets
-
To edit a personalised asset, click the pencil button (Edit) on its card
-
To replace a ready-to-share asset’s file, click Replace on its card and choose the new file. The asset keeps its channels. Please use a file of the same shape
-
To remove an asset, click the bin button (Remove) on its card, then click Remove asset. You will see the message Asset removed
Please keep in mind that attendees will no longer be offered a removed asset. Anything people have already created and shared is unaffected, and you can add the template, or upload the file, again later.
