Attendee campaign
In this article, you’ll learn how to set up and configure your attendee campaign, including creating it, what attendees see, where they can share, and how to put it in front of them.
An attendee campaign turns the people who register for your event into promoters of it: straight after they sign up, attendees pick an image, personalise it if you allow it, and share that they’re going on their own channels, with a post and a link to your event.

How attendee campaigns work
Your attendees can tell their networks they’re coming straight after they sign up. An attendee campaign gives them everything they need to do that in a few clicks.- One campaign for all your attendees - the same campaign is shown to everyone, and each attendee who shares gets their own tracked link, so every share is counted.
- Images made for your event - you offer up to 6 assets, two in each of three formats (Landscape, Portrait and Story). Attendees can personalise them with their photo and words, or share them as they are.
- Your choice of channels - LinkedIn, Instagram, Facebook, X / Twitter, WhatsApp, Email, SMS, Slack, Bluesky, Telegram and LINE.
- Ready-made posts - attendees start from your post and a link to your event, and can reword it before they share.
- Your brand - your logo and brand colour on the screens attendees see.
When attendees open the campaign, they pick a channel, choose an asset if there’s more than one, add their photo and words if the asset is personalised, and share. After sharing, they’re offered your other channels for a second share.
An attendee campaign is a good fit when you want to:
-
Have registrants tell their networks they’re coming, straight after they sign up
-
Make every share look like your event, with a branded image
-
See how many shares, clicks and registrations your attendees bring in
Campaign settings
To see your campaigns, go to the Event and click Attendee Campaigns on the left-hand side menu.
You’ll see each campaign’s Name, Shares, Clicks and Conversions. Archived campaigns are hidden until you tick Include archived.
When you open a campaign, you will see six tabs:
-
Assets: the images attendees share, and which channels each format is shared on
-
Sharing: the first screen attendees see, with your logo, heading and channels
-
Share text & link: the post attendees start from, and the webpage it links to
-
Thank-you screen: what attendees see after they share
-
Metadata: the card social networks show under an attendee’s post
-
Distribution: how attendees find your campaign
To see the campaign as your attendees will, click Attendee preview at the top of the page.
Creating your campaign
-
Go to the Event
-
Click Attendee Campaigns on the left-hand side menu
-
Click Add campaign (or Create a campaign if the event has none yet)
-
On Campaign, enter the Campaign name and choose the Language of the screens attendees see. English is selected to start with
-
Click Continue
-
On Asset, choose your first asset and where attendees can share it, then click Create and continue. Please see Creating and designing assets for your attendee campaign
-
If your asset is personalised, design it on Design your asset, then click Continue
-
Set the Sharing, Share text & link and Thank you steps, clicking Continue after each one (see the sections below)
-
On Metadata, set the link preview, then click Create
You will see the message Campaign created, followed by Your campaign is ready.
Choose Add more assets, Distribute to attendees or Return to campaigns list.
Please keep in mind that your campaign is created as soon as you click Continue on the first step, so a campaign you don’t finish still appears in your list. Once your first asset is added, you can’t go back to the Campaign or Asset steps, and the language can’t be changed. For another language, please create a new campaign.
Sharing screen
The sharing screen is the first thing attendees see: your logo, and the question above the channels they can share to.
On the Sharing step or tab:
-
Click Add your logo and choose your file (PNG or JPG, up to 5 MB)
-
Choose a Brand colour. It’s used for buttons, and for the channel icons when someone hovers over them
-
Optional: choose a Button text colour, or click Automatic for white or dark, whichever reads better
-
Optional: reword the Heading and Subheading. Leave a line blank to use the default wording: Where would you like to share? and Pick a channel and check your post before it goes out.
-
Under Channel order, drag a channel by its grip to change the order. Attendees see the channels in this order, and the first one is the default
You can check how it looks in the Attendee preview next to the form.
Note: Channel order only changes the order. Which channels are offered is set on the Assets tab.
Share text & link
On the Share text & link step or tab:
-
Under Share post, choose Same post on every channel, or A post for each channel to tailor the wording for each one
-
Write your post in Share text
-
Click Insert to choose where your link appears in the post
-
Enter the webpage in Destination link, starting with https://. To add tracking codes, click Show tracking URL builder
-
If Email is offered, enter the Email subject. Clear it to go back to the default
Attendees can reword the post before they share it, and each gets their own tracked link in place of .
If you choose A post for each channel, Share text becomes the Default post. Click a channel’s tab to write its own post. Each channel starts from the default post and keeps following it until you change it. To go back, click Use the default post.
Choosing how attendees share to LinkedIn
While LinkedIn is offered, you will see its options:
-
Post through LinkedIn's API: attendees sign in to LinkedIn once and Gleanin posts the full-size image for them. This is on to start with
-
Manual share options: the way to share by hand, for anyone who’d rather not connect their LinkedIn account. Choose Curated share, Quick share or Both.
More information on LinkedIn sharing can be found here.
Channels for each format
Which channels each format is shared on is set on the campaign’s Assets tab. Your assets are shown in rows, one per format, and each row shows the channels it’s Shared on. Under the rows, there are two more boxes:
-
Shared without an image: attendees share the post and the link on these channels. This is where Email and SMS sit
-
Not offered to attendees: these channels haven’t been selected or don’t support your available asset formats. For example, a landscape image can’t be shared to an Instagram story.
To move a channel, follow the steps below:
-
Drag the channel onto a format
-
Or click the channel and choose where it goes: Move to or Offer on a format, Offer without an image, or Stop offering
The change is saved straight away. You will see a message such as LinkedIn moved from Landscape to Portrait. To put it back, click Undo in the message.
Note: A format needs at least one asset before you can put a channel on it. A channel can only offer one shape, and both assets in a format are always offered on the same channels.
If something stops attendees from seeing an asset, a warning appears on the tab. For some warnings, you’ll see Put them back in step. Click it to fix them in one go.
Thank-you screen
The thank-you screen is the last thing attendees see, straight after they share. It offers the campaign’s other channels for a second share.
On the Thank you step or the Thank-you screen tab:
-
Enter the **Title**, or leave it blank to use Thank you for sharing!
-
Enter the Description, or leave it empty for just the title and the channels
Note: With only one channel, attendees get a button to start again instead, and won’t see the description until you add another channel.
Link preview
When an attendee’s link is shared, social networks can show it as a card.
On the Metadata step or tab:
-
Under Link preview, enter the Title (up to 65 characters) and the Description (up to 155 characters). Leave a line empty to use the default wording
-
Under Alt text, describe each asset for people using a screen reader (up to 125 characters)
You can see the card under What a shared post looks like.
Note: Networks read the card when a link is first shared, so a change will show on posts shared from then on.
