API tokens let your own tools and scripts work with your Gleanin data through the Gleanin API. Anything using your token works with Gleanin as you. - A token is you - a tool using your token can do what you can do in Gleanin, and no more. - Every account you belong to - a token works on every account you belong to, with your role on each one. For example, on an account where you’re a **Viewer**, it can only read. - Checked on every request - a request is refused if the account doesn’t have API access on its plan, or if its subscription is paused or cancelled. - Up to 4 active - you can have up to 4 active tokens. Inactive tokens don’t count. - Shown once - Gleanin doesn’t keep a readable copy of your token, so you need to copy it when you create it. API access is included in **Gleanin Pro**. If you are on **Gleanin Starter**, it comes with the **Connect** add-on. Note: API tokens don’t work with the MCP server. To connect an AI app such as Claude or ChatGPT, please see **Connecting AI assistants to Gleanin with MCP**. ### **Opening API Tokens** 1. Click your name at the bottom of the left-hand side menu 2. Click **User settings** 3. Click **API Tokens** You will see a list of your tokens. Each one shows whether it is **Active** or **Inactive**, when it was created, and when it was last used, or **Not used yet**. If you see “This is a Gleanin Pro feature”, none of your accounts has API access on its plan. If some of your accounts have API access and some don’t, you will see “API tokens will only work for Gleanin Pro subscriptions.”, and you can’t create a token here. ### **Creating a token** 1. Click your name at the bottom of the left-hand side menu 2. Click **User settings** 3. Click **API Tokens** 4. Click **Create token** 5. Under “Copy this token now — it won't be shown again.”, click the copy button next to the token You will see the message **Copied to clipboard**. Please store your token somewhere safe, such as a password manager. Once you close **User settings** or reload the page, it can’t be shown again. If you lose it, create a new token and deactivate the old one. Note: Tokens have no name, so please note which tool uses which token, and when you created it. Note: **Create token** is greyed out while you have 4 active tokens. Deactivate one first. ### **Using your token** Your tool sends the token with each request to the Gleanin API. You can find everything your developers need in the **API Documentation**, at developers.gleanin.com. Please keep in mind that anyone who has your token can work with your Gleanin data as you. Keep it out of shared documents, chats and code, and if it leaks, deactivate it straight away. ### **Deactivating and activating a token** The buttons next to each token are icons. Hover over one to see its name. **To deactivate a token, follow the steps below:** 1. Click your name at the bottom of the left-hand side menu 2. Click **User settings** 3. Click **API Tokens** 4. Next to the token, click the ban button (**Deactivate token**) 5. Click **Deactivate token** to confirm You will see the message **API token deactivated**. Any integrations using this token stop working straight away. To activate a token again, click the tick button (**Activate token**) next to it. You will see the message **API token activated**. ### **Deleting a token** Only an inactive token can be deleted, so please deactivate it first. 1. Click your name at the bottom of the left-hand side menu 2. Click **User settings** 3. Click **API Tokens** 4. Next to the inactive token, click the bin button (**Delete token**) 5. Click **Delete** to confirm You will see the message **API token deleted**. Please keep in mind that deleting a token is a permanent action.
