### **Setting up the video asset**

1. Go to the **Event**
2. Under **Asset Hubs** on the left-hand side menu, click **Exhibitor**
3. Click **Add exhibitor asset**
4. If your hub has more than one language, choose the asset’s **Language**
5. Under **What do you want to create?,** click **User-generated video**.
6. Under **What would you like to name this asset?**, keep the suggested name or type your own
7. Click **Create and continue**

Please keep in mind that **Create and continue** creates the asset straight away. After that, the **Create** step is locked.

### **Setting up the landing page**

The **Design** step, **Design the recording experience**, opens on the **Landing page** tab.

A **Landing page preview** shows what your exhibitors will see.

1. Under **Quick tips**, keep **Show quick tips** on and edit the tips, or switch it off
2. Under **Notes**, keep **Show notes** on and edit the **Section label, Section description** and **Notes content**, or switch it off
3. Click **Continue to video branding**

Both start on, with suggested tips and notes that you can change. Your exhibitors see the notes before they start, and above the camera while they record.

Note: Type \`**{duration**}\` in a tip and it will be replaced with your maximum video length when your exhibitors see it.

Note: **Notes content** is required while **Show notes** is on.

### **Branding the video**

On the **Video branding** tab, a **Video branding preview** shows how the video will look.

1. Choose the **Video orientation**: *Portrait* (to start with) or *Landscape*
2. Choose the **Video overlay type**: *Banner* or *Logo* (to start with). Only one can be active
3. Upload your banner or logo. Images can be PNG or JPG, up to 5MB
4. For a logo, choose the **Logo position** (*Top Left* to start with) and *Logo max width (px)* (200 to start with)
5. Choose the **Maximum video duration (seconds)**: *15 seconds*, *30 seconds,* *60 seconds* (to start with), *90 seconds* or *120 seconds*. Recording stops on its own at this length
6. Keep **Allow caption generation** on and choose the *Caption colour*, *Caption background colour* and *Caption font*, or switch it off
7. To add a closing screen, switch on **Outro frame**, choose *Image / GIF* or *Video,* and upload your file. For an image, set the **Display duration** from 1 to 5 seconds
8. Click **Save design changes**

Note: Portrait videos are 1080×1920px and landscape videos are 1920×1080px. The banner should be at least as wide as the video, and a transparent PNG lets the video show through. A logo should be at least 200px wide and is never enlarged.

Note: An outro video can be MP4, MOV, AVI or WebM, up to 100MB and no longer than 15 seconds.

Note: The outro frame is only added when a file is uploaded for the type you chose. If **Outro frame** is on with no file, it’s saved as off. If you switch it off, its files are kept for when you switch it back on.

### **Publishing the video asset**

1. On **Metadata**, you can change the *Title* and *Description* of the card shown under a shared link. Click **Continue**
2. On **Who gets this, and what it says**, choose who gets the video and its share text and link. Please see Showing specific assets to groups of exhibitors and Setting your hub’s share text and link
3. Click **Save and finish**

Note: For a video, the link preview’s picture is “A still from the recording”. LinkedIn shows this card only when the post has no video of its own.

The channels your exhibitors can share on, and whether they can post to LinkedIn straight from the hub, come from your hub’s share settings.

Your new asset starts hidden. When it’s ready, click **Make visible** on its card on **Exhibitor assets**.

### **Changing a video asset**

1. On **Exhibitor assets**, open the video asset
2. On the **Design** tab, change the **Landing page** and **Video branding** settings
3. Click **Save changes**

You will see the message **"Name" updated**.

Note: Your logo or banner and outro frame are added when an exhibitor's finished video is made, so changes apply to videos finished after you save. Videos that are already finished don’t change.

### **How exhibitors record their videos**

Your video asset must be visible and meant for the exhibitor.

Your exhibitors will need a device with a camera and a browser that can record video.

#### **Starting the video**

Before recording, the video’s card in the hub shows **Not recorded yet**.

1. The exhibitor clicks **Record video** on the video’s card
2. On **Let's create your video!**, they read your *Quick tips* and notes
3. They click **Let's get started!**

The browser will then ask for permission to use the camera and microphone.

#### **Recording the video**

1. On **Record your video!**, the exhibitor lines up their face with *Position your face here*. Your notes are shown above the camera, and your logo or banner is shown on the video
2. If they have more than one camera or microphone, they can choose which to use
3. They click the round red record button. A 3-2-1 countdown runs, then recording starts
4. They click the button again to stop, or recording stops on its own at your maximum video length
5. Under **Are you happy with this recording?**, they click *Yes, looks good!* to keep it, or *No, try again* to record again

Note: The camera picture is mirrored, as in a selfie, and the recording keeps it that way.

### **Customising the captions**

If you’ve allowed captions, the exhibitor sees **Customise your video**. Gleanin uploads the video and generates the captions.

1. To fix a word, the exhibitor clicks **Edit captions**, makes the change, and clicks **Save captions**
2. Under **Words per caption**, they choose how many words appear at once (4 to start with)
3. They click **See finished video**

Note: Captions aren’t shown on the preview at this step. They appear on the finished video.

To start over, the exhibitor clicks **Re-record video**, then **Re-record video** again to confirm. This discards the recording and any caption edits.

If captions are switched off, this step is skipped and the exhibitor goes straight to sharing.

### **Sharing or downloading the video**

While the finished video is made, the exhibitor sees **Creating your video…**. Then:

1. Under **Where do you want to share?**, they choose one of your hub’s channels
2. The suggested post and link come from the asset’s share text and link
3. To keep the file, they click **Download video**

To change the captions, the speaker clicks **Back to edit**. This only shows when captions are allowed.

Note: Once the exhibitor has kept their recording, they can reload the page and come back to it. If they leave before keeping it, they start again from the tips.

### **Recording another version**

Once an exhibitor has a finished video, the card shows **Ready to share**, with **Share** and **Record another**.

Exhibitors can record as many versions as they like. If they’ve made more than one, clicking **Share** shows **Choose one to share**, where they pick a **Version**.

### **Troubleshooting**

Below you’ll find common error messages exhibitors may see when recording their videos, along with steps to resolve them. If the guidance doesn’t solve the problem, email us at hello@gleanin.com.

**Camera access was denied. Check your browser's site settings and try again. / No camera was found on this device. / Your camera is already in use by another application.**

The camera couldn’t be used. Please ask your exhibitor to allow the camera in their browser’s site settings, close any other app using it, or use a device with a camera.

**Recording isn't available in this browser. / Camera access requires a secure (HTTPS) connection.**

Please ask your exhibitor to use another, up-to-date browser and open the hub link starting with https://.

**This site can't access your camera here. Try opening it in a new tab.**

The hub is shown inside another page that blocks the camera. Please ask your exhibitor to open the hub in its own tab.

**Upload failed. Please try again. / Transcription is taking longer than expected. Please try again.**

The video didn’t upload, or the captions took too long. Please ask your exhibitor to click *Re-record video* and record again.

**We couldn't generate captions for this recording - you can still continue without them**.

Captions couldn’t be made. Your exhibitor can continue without captions, or record again.

**Something went wrong creating your video. Please try again. / Creating your video is taking longer than expected. Please try again.**

The finished video couldn’t be made. Please ask your exhibitor to click *Try again*.

**The card still says Not recorded yet**

The card only changes once the finished video has been made. Please ask your exhibitor to wait on the sharing page.

**The recording stopped by itself**

It reached your maximum video length. You can choose a longer one on the asset’s *Video branding* tab.
