# Exhibitor asset hub

## In this article, you’ll learn how to set up and customise your Exhibitor Asset hub, including creating it, your greeting and branding, sharing settings, and language options.

The hub turns your exhibitors into promoters of your event: each exhibitor gets images, videos and emails made for them, ready to share on their own channels with a suggested post and a link to your event.

### **How the Exhibitor Asset hub works**

Your exhibitors already have audiences: customers, prospects and followers who’d come to see their stand. The Exhibitor Asset hub gives each exhibitor what they need to tell those people about your event.

- One hub for all your exhibitors - you set it up once for your event, and every exhibitor gets their own link to it.
- Assets made for each exhibitor - you create images, videos and emails in the hub; every exhibitor gets their own version, ready to share or to personalise first.
- Ready-made posts - each asset comes with a suggested post and a link to your event’s webpage.
- Your brand - the hub carries your logo, colours and a greeting to your exhibitors.
- Your exhibitors’ languages - you can offer the hub in several languages; exhibitors see your default language first and can switch between the hub’s languages.

The Exhibitor Asset hub is a good fit when you want to:

- Drive registrations through your exhibitors’ own customers and networks
- Give every exhibitor on-brand images, instead of asking each of them to make their own
- Make sure every post links to the right page, such as your registration page

To show some assets only to some exhibitors, such as your sponsors, please see [Showing specific assets to groups of exhibitors.](https://resources.gleanin.com/knowledge/exhibitor-asset-creation#groups)

### **Hub settings**

When you open your Exhibitor Asset hub, you will see five pages in its menu:

- **Exhibitor assets**: create and manage the images, videos and emails your exhibitors share
- **Greeting & branding**: set the welcome message at the top of the hub, your logo and colours
- **Share text & link**: set the suggested post, the webpage it links to, and the channels exhibitors can share on
- **Languages**: choose the languages your hub is offered in, and the default
- **Distribution**: download every exhibitor’s own link to the hub, to send by mail merge

To see the hub as your exhibitors will, click **Preview exhibitor hub** at the top of the hub.

### **Creating your hub**

You don’t need to add your exhibitors first. Exhibitors already on your event join the hub when you create it, and exhibitors you add later join it automatically.

1. Go to the **Event**
2. Under **Asset Hubs** on the left-hand side menu, click **Exhibitor**
3. Click **Create your first asset**
4. Answer the **Two quick questions**:

     1. **What is the main language of your exhibitors?** English is selected to start with. This will be your default language, and you can add more languages or change it later.
     2. **Which webpage should your exhibitors share?** Enter the full address, starting with https\\://. You can update this later.
5. Click **Create my first asset**

You will see the message **Asset hub created**, and you will be taken straight to creating your first asset.

Note: If you click **Cancel**, nothing is created, and your answers are cleared.

Once the hub is created, it will use our default greeting (**Welcome to your Exhibitor asset hub**), suggested post and colours until you change them.

### **Greeting and branding**

#### **Setting the greeting**

1. Go to the **Event**
2. Under **Asset Hubs** on the left-hand side menu, click **Exhibitor**
3. Click **Greeting & branding**
4. Next to **Configuring**, make sure **All exhibitors** is selected
5. If your hub has more than one language, choose the language next to **Language**
6. Enter the **Heading** (the welcome line at the top of the hub) and **Sub-heading** (a short introduction under the heading)

If your hub has more than one language, repeat steps 5 and 6 for each one.

Note: You can also give a group of exhibitors its own greeting and branding by choosing the group next to **Configuring**.

#### **Setting the branding**

On **Greeting & branding**, under **Branding**:

1. Add your **Hub logo** by clicking **Upload logo**, or **Choose from library** to use an image that you have already uploaded
2. Under **Hub header background**, choose **Solid colour** and pick the Background colour, or choose **Gradient**:

     1. For a gradient, pick one of the four ready-made gradients, or set your own with *Colour A* and *Colour B*
     2. Choose the Direction: *Diagonal*, *Horizontal* or *Vertical*
3. Pick the **Button colour**

You can check how it looks in the **Preview** next to the form. To see the whole hub as your exhibitors will, click **Preview exhibitor hub**.

When you’re happy with your changes, click **Save configuration** at the bottom of the page. You will see the message **Hub configuration saved**.

Your logo and colours are the same in every language.

### **Share text and channels**

To change the share text and which channels your exhibitors can use, please follow the steps below:

1. Go to the **Event**
2. Under **Asset Hubs** on the left-hand side menu, click **Exhibitor**
3. Click **Share text & link**
4. Under **Where it can be shared**, you will see every channel: Instagram, LinkedIn, X / Twitter, Facebook, Email, SMS, WhatsApp, Slack, Bluesky, Telegram and LINE
5. Every channel is offered to start with. Untick a channel to stop offering it
6. To change the order, drag a channel by its grip. Exhibitors see the channels in this order, and the first one is offered first

Note: Every asset in a language offers exactly the channels you choose here. Groups and assets always follow the hub.

#### **Choosing how exhibitors share to LinkedIn**

While LinkedIn is ticked, you will see its options under the channels:

- **Post through LinkedIn's API**: exhibitors sign in to LinkedIn once and Gleanin posts the full-size image for them. This is on to start with.
- **Manual share options**: the way to share by hand, for exhibitors who’d rather not connect their LinkedIn account. Choose **Curated share** (selected to start with), **Quick share** or **Both**.

More information on LinkedIn sharing can be found here.

#### **Writing the suggested post**

1. Under **Share post**, choose **Same post on every channel**, or **A post for each channel** to tailor the wording for each one
2. Write your post in **Share text**
3. Click **Insert**  to choose where your destination link appears in the post

If you choose **A post for each channel**, *Share text* becomes the *Default post*. Click a channel’s tab to write its own post. Each channel starts from the default post and keeps following it until you change it. To go back, click **Use the default post**.

If Email is one of your channels, enter the **Email subject** too.

### **Destination link**

1. Enter the webpage in **Destination link**, starting with https\\://
2. To add tracking codes, click **Show tracking URL builder**. The **URL health check** suggests any codes you’re missing, which you can add with *Accept*, or *Accept all* when there are several. You can also click **Add custom UTM code** to add your own.

#### **Link preview**

When an exhibitor’s link is shared, social networks can show it as a card. Under **Link preview**, enter the **Title** (up to 65 characters) and the **Description** (up to 155 characters). Leave a line empty to go back to the default wording. You can see the card under *What a shared post looks like*.

Note: Networks read the card when a link is first shared, so a change will show on posts shared from then on.

When you’re happy with your changes, click **Save configuration** at the bottom of the page. You will see the message \*\***Hub configuration saved**.

### **Hub's language**

Your hub starts in the main language you chose when you created it. If your exhibitors come from different countries, you can add more languages so they can share in their own language. Each language has its own greeting, suggested post, destination link, channels, email subject and link preview, and each asset is in one language.

#### **Adding a language**

1. Go to the **Event**
2. Under **Asset Hubs** on the left-hand side menu, click **Exhibitor**
3. Click **Languages**
4. Click **Add language** and choose a language from the list

You will see a message confirming that the language has been added, for example, *French added*.

A new language starts with our standard greeting, suggested post, email subject and link preview, written in that language. Its destination link and channels are copied from your default language.

Next, please set its greeting on **Greeting & branding** and its share text on **Share text & link**, choosing the new language next to \*\***Language**.

#### **Changing the default language**

1. Go to **Languages**
2. Click **Set as default** next to the language

The default language is marked **Default**, and you will see a message such as *French is now the default language*.

#### **Removing a language**

1. Go to **Languages**
2. Click the remove button next to the language
3. Read the confirmation message. If any assets are in that language, it lists them
4. Click **Remove language** to confirm
5. You will see a message such as *French removed*.

Note: You cannot remove the default language. To remove it, first set another language as the default.

Please keep in mind that removing a language is a permanent action. Exhibitors will no longer see it as an option, any greeting written for it will be deleted, and any assets in that language will be hidden from everyone. To show these assets again, open each one and move it to another language.

Changes on the **Languages** page save immediately, so there is no Save button on this page.

### **Sharing hub links with your exhibitors**

Every exhibitor in the hub has their own link to it. On **Distribution**, you can see everyone with their link, and download the list to send the links out by mail merge.

For each exhibitor, you will see:

- **Name:** the exhibitor’s name, with their email underneath
- **Groups:** the exhibitor groups they’re in
- **Shared:** whether they have shared (*Shared*, with their shares and clicks), created a post without sharing it (*Post created*), or not started yet (*Not started*)
- **Hub link:** their own link to the hub, with buttons to copy it or open it

You can narrow the list with the filters:

- **Participated:** choose *All*, *Participated* (exhibitors who have shared) or *Not participated yet*
- **Groups:** tick one or more groups to show only exhibitors in them. This only appears when your event has exhibitor groups

**To download your exhibitors’ links, follow the steps below:**

1. Go to the **Event**
2. Under **Asset Hubs** on the left-hand side menu, click **Exhibitor**
3. Click **Distribution**
4. If you only want some of your exhibitors, choose the filters
5. Click **Download for mail merge**

You will get a CSV file with each exhibitor’s **Name**, **Email**, **Groups** and **Hub link**, ready for your mail merge.

Note: The file follows the **Participated** and **Groups** filters, but not the search box.

Exhibitors you add to your event later join the hub automatically and appear in this list.
