If you are using Cvent to manage your event and you are on the Pro subscription, you have the option to integrate it with Gleanin using an API.
Setting up the integration
To set up the integration, you need access to the Cvent Developer portal to create an application and obtain the API credentials. Alternatively, a team member with this access can create the application on your behalf. The application is created only once for your account. If you plan to host multiple events with different types (such as speaker & session or exhibitor), you will only need the eCode for any subsequent integrations.
To set up the integration, please follow the steps below:
- Log in to your Gleanin account and navigate to the Integrations section located in the left-hand menu.
- Select the plus icon, and then choose Cvent from the options presented on the subsequent screen.
- Choose if you want to create Speaker & sessions or Exhibitor integration.
- To successfully set up your Cvent integration, you will need the following details:
- eCode - you can locate the eCode in your Cvent events account by clicking on the title of the relevant event. Look for the eCode under the Event Information section on the right-hand side (if the eCode field is not visible, click on the filter icon and check the box next to the eCode field to display it);
- data location - EU or US;
- Client ID and secret - To obtain these credentials, you will need access to the Cvent developer dashboard and create a new application. To do this, click on the Create application button, select Machine to Machine as the application type, enter Gleanin Integration as the application name and under the Edit Scope section, click on Select scopes and ensure that you choose all the ones listed below.
- eCode - you can locate the eCode in your Cvent events account by clicking on the title of the relevant event. Look for the eCode under the Event Information section on the right-hand side (if the eCode field is not visible, click on the filter icon and check the box next to the eCode field to display it);
- Once the application is created and you have found the eCode, return to the Integrations section in your Gleanin account, click on the plus icon, and then select Next on the details needed screen.
- Choose your data location; please note that if you select the incorrect data region, you will not be able to proceed with the setup. However, you can resolve this issue by choosing the correct option (either EU or US). This selection is determined by where your data is stored for your entire Cvent account, not just for the specific event or integration.
- Add the Client ID and Client Secret generated after creating the application (step 4.c). You can find them in your Cvent Developer portal under Applications
- Click on Next to verify your credentials. If the details are accurate, you will see the successful integration setup and will be asked to add the Cvent event Id which is your eCode (step 4. a) and click Next to finish the setup.
For Speaker & session integration, you will see additional fields to choose the formatting options for the display information to complete the setup process. - If any of the details you entered are incorrect or missing, the setup process will not succeed. In this situation, please verify your credentials to ensure they are accurate. Data sync
Now that your integration is successfully set up, you can start importing data into your Gleanin account. To initiate this process, you will need to perform a manual data sync:
- Access the Integrations section from the main menu.
- Select the import icon located on the right side of the integration details section.
- Upon successful import, a green dot will be displayed on the clock icon.
The duration of the sync process may vary depending on the volume of data being imported, usually taking anywhere from a few seconds to an hour. If the sync fails, you will see a red background in the integration box, indicating that you should try the sync again.
