# Managing your exhibitors

## In this article, you’ll learn how to keep your exhibitors up to date, including editing their details, assigning groups, and deleting exhibitors who are no longer taking part.

### **The exhibitors list**

To see your exhibitors, go to the **Event**, expand **Data** on the left-hand side menu and click **Exhibitors**. For each exhibitor, you will see:

- **Logo:** click it to add or replace their logo
- **Company Name:** click it to open their page
- **Email**
- **Stand number**
- **Groups:** you can change their groups straight from here
- **Asset Hub:** their own link to your Exhibitor Asset hub, ready to copy

Use **Search exhibitors…** to find an exhibitor by company name, email or stand number. To download all your exhibitors with their hub links, click **Export CSV**.

Note: The settings button next to the search box lets you show or hide columns. Under **Logo border shape**, you can choose **Circle** or **Rounded Rectangle** to preview logos in the list. This doesn’t change your designs.

### **Editing an exhibitor**

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Exhibitors**
4. Click the exhibitor’s name
5. Click **Edit**
6. Change the details that need updating
7. Click **Update**

You will see the message **Exhibitor updated**.

To change the company name, click it at the top of the exhibitor’s page, type the new name and press Enter.

Note: Without the Customisation add-on or Gleanin Pro, a **Custom advocacy URL** you enter isn’t saved.

### **Updating exhibitors in bulk**

To update many exhibitors at once, change their details in your spreadsheet and import it again with **Import multiple exhibitors**. The **Review** step shows each changed exhibitor as **Update**, with their details **Before** and **After**, and unchanged exhibitors as **Identical**.

### **Assigning groups**

**To change an exhibitor’s groups from the exhibitors list, follow the steps below:**

1. In the exhibitor’s **Groups** column, click the **+** button
2. Tick or untick the groups

The change is saved straight away. You can also change groups in the exhibitor’s edit form.

In the same list, you can:

- **Create a group:** click **Create new group**, enter the **Group name**, pick a **Color** and click **Create group**. It’s given to this exhibitor straight away
- **Edit a group:** click the pencil button next to it, make your changes and click **Update group**
- **Delete a group:** click the bin button next to it, then click **Delete**

Please keep in mind that deleting a group removes it from every exhibitor in it. The exhibitors themselves are not deleted.

### **Deleting exhibitors**

**To delete one exhibitor:**

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Exhibitors**
4. Click the bin button at the end of the exhibitor’s row
5. Click **Delete** to confirm

You can also click **Delete** on the exhibitor’s own page.

**To delete several exhibitors:**

1. Tick the box next to each exhibitor (or the box in the header to select them all)
2. Click **Delete selected**
3. Click **Delete** to confirm

You will see the message **Exhibitor deleted**, or how many exhibitors were deleted.

Please keep in mind that deleting an exhibitor can’t be undone. It removes them from their groups, and their hub link stops working. What they’ve already shared keeps working and stays in your results under their name. If you add them again later, they will get a new hub link.
