# Managing your sessions

## In this article, you’ll learn how to keep your agenda up to date, including editing sessions, sorting them into tracks, connecting their speakers, and deleting sessions.

### **The sessions list**

To see your sessions, go to the **Event**, expand **Data** on the left-hand side menu and click **Sessions**. For each session, you will see:

- **Title:** click it to open the session’s page
- **Schedule**
- **Tracks:** you can change its tracks straight from here
- **Speakers:** how many speakers it has. Click to change them

Use **Search sessions…** to find a session by title or schedule.

### **Editing a session**

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Sessions**
4. Click the session’s title
5. Click **Edit**
6. Change the details that need updating
7. Click **Save changes**

You will see the message **Session updated**.

You can also rename a session by clicking its title at the top of its page, typing the new title and pressing Enter.

Please keep in mind that emptying **Schedule** doesn’t remove a saved schedule. To change it, please enter the new schedule instead.

#### **Updating sessions in bulk**

Please keep in mind that you can’t update sessions in bulk with the import. Gleanin recognises a session only by its exact title and schedule, so even a small change in your spreadsheet makes it look like a new session, and it will be imported as a second copy. To change a session, please edit it individually.

### **Assigning tracks**

Tracks group your sessions by theme, such as Marketing or Engineering. An asset can be shown to everyone speaking in a track.

**To change a session’s tracks from the sessions list, follow the steps below:**

1. In the session’s **Tracks** column, click the **+** button
2. Tick or untick the tracks

The change is saved straight away. You can also change tracks in the session’s edit form.

In the same list, you can:

- **Create a track:** click **Create new track**, enter the **Track name**, pick a **Color** and click **Create track**
- **Edit a track:** click the pencil button next to it, make your changes and click **Update track**
- **Delete a track:** click the bin button next to it, then click **Delete**

Please keep in mind that deleting a track removes it from every session in it, and from any asset aimed at that track. The sessions themselves are not deleted.

### **Connecting speakers to a session**

**From the sessions list:**

1. In the session’s **Speakers** column, click **Add speakers** (or the number of speakers, such as **3 speakers**)
2. Tick or untick speakers. You can use **Search speakers…** to find them

**From the session’s page:**

1. Click the session’s title
2. Under **Speakers**, click **Add speakers**
3. Tick the speakers. You can use **Search speakers…** to find them

Each change is saved straight away. To remove a speaker, click the **X** next to their name on the session’s page.

Note: If a speaker isn’t in Gleanin yet, click **Add a new speaker** in the list of speakers.

### **The session’s page**

When you open a session, you will see how many **Speakers** and **Tracks** it has, and:

- **Speakers:** each speaker on the session, with how they’re getting on in the hub and their shares, clicks and conversions. A speaker without a headshot is flagged, because their images have no photo
- **How its speakers are getting on:** how many of its speakers have engaged and how many have a headshot
- **Assets from its tracks:** the live assets aimed at the session’s tracks, which its speakers are offered

### **Deleting sessions**

**To delete one session:**

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Sessions**
4. Click the bin button at the end of the session’s row
5. Click **Delete** to confirm

You can also click **Delete** on the session’s own page.

**To delete several sessions:**

1. Tick the box next to each session (or the box in the header to select them all)
2. Click **Delete selected**
3. Click **Delete** to confirm

You will see the message **Session deleted**, or how many sessions were deleted.

Please keep in mind that deleting a session can’t be undone. The session is removed from your agenda and its details no longer appear in its speakers’ images. Its speakers, tracks and your results are kept, and links its speakers have already shared keep working.
