Speaker asset hub
In this article, you’ll learn how to set up and customise your Speaker Asset hub, including what you need to get started, your greeting and branding, sharing settings, and language options.
The hub turns your speakers into promoters of your event: each speaker gets images, videos and emails made for them, ready to share on their own channels with a suggested post and a link to your event.

How the Speaker Asset hub works
Your speakers already have audiences: colleagues, followers and customers who trust them. The Speaker Asset hub gives each speaker what they need to tell those people about your event.
-
One hub for all your speakers - you set it up once for your event, and every speaker gets their own link to it.
-
Assets made for each speaker - you create images, videos and emails in the hub; every speaker gets their own version, ready to share or to personalise first.
-
Ready-made posts - each asset comes with a suggested post and a link to your event’s webpage, so sharing takes one or two clicks.
-
Your brand - the hub carries your logo, colours and a greeting to your speakers.
-
Your speakers’ languages - you can offer the hub in several languages; speakers see your default language first and can switch between the hub’s languages.
The Speaker Asset hub is a good fit when you want to:
-
Drive registrations through your speakers’ own networks in the run-up to your event
-
Give every speaker on-brand images and videos, instead of asking each of them to make their own
-
Make sure every post links to the right page, such as your registration page or agenda
To tailor the hub for some of your speakers, for example, a different greeting for keynote speakers, please see Showing specific assets to groups of speakers.
Hub settings
When you open your Speaker Asset hub, you will see five pages in its menu:
-
Speaker assets: create and manage the images, videos and emails your speakers share
-
Greeting & branding: set the welcome message at the top of the hub, your logo and colours
- Share text & link: set the suggested
post, the webpage it links to, and the channels speakers can share on
-
Languages: choose the languages your hub is offered in, and the default
-
Distribution: download every speaker’s own link to the hub, to send by mail merge
To see the hub as your speakers will, click Preview speaker hub at the top of the hub.
Creating your hub
-
Go to the Event
-
Under Asset Hubs on the left-hand side menu, click Speaker
-
Click Create your first asset
-
Answer the two quick questions:
-
What is the main language of your speakers? English is selected to start with. This will be your default language, and you can add more languages or change it later.
-
Which webpage should your speakers share? Enter the full address, starting with https://. You can update this later.
-
-
Click Create my first asset
-
You will see the message Asset hub created, and you will be taken straight to creating your first asset.
Note: If you click Cancel, nothing is created, and your answers are cleared.
Once the hub is created, it will use default text and wording until you change them.
Greeting and branding
Setting the greeting
-
Go to the Event
-
Under Asset Hubs on the left-hand side menu, click Speaker
-
Click Greeting & branding
-
Next to Configuring, make sure All speakers is selected
-
If your hub has more than one language, choose the language next to Language
-
Enter the Heading (the welcome line at the top of the hub) and Sub-heading (a short introduction under the heading)
If your hub has more than one language, repeat steps 5 and 6 for each one.
Note: You can also give a group of speakers its own greeting and branding. Please see **Managing groups and languages in your Speaker Asset hub**.
Setting the branding
On Greeting & branding, under Branding:
-
Add your Hub logo by clicking Upload logo, or Choose from library to use an image that you have already uploaded
-
Under Hub header background, choose Solid colour and pick the Background colour, or choose Gradient:
-
For a gradient, pick one of the four ready-made gradients, or set your own with Colour A and Colour B
-
choose the Direction: Diagonal, Horizontal or Vertical
-
-
Pick the Button colour
You can check how it looks in the Preview next to the form. To see the whole hub as your speakers will, click Preview speaker hub.
When you’re happy with your changes, click Save configuration at the bottom of the page.
Share text and channels
To change the share text and which channels your speakers can use, please follow the steps below:
-
Go to the Event
-
Under Asset Hubs on the left-hand side menu, click Speaker
-
Click Share text & link
-
Under Where it can be shared, you will see every channel: Instagram, LinkedIn, X / Twitter, Facebook, Email, SMS, WhatsApp, Slack, Bluesky, Telegram and LINE.
-
Every channel is offered to start with. Untick a channel to stop offering it.
-
To change the order, drag a channel by its grip. Speakers see the channels in this order, and the first one is offered first.
Note: Every asset in a language offers exactly the channels you choose here. Groups and assets always follow the hub.
Choosing how speakers share to LinkedIn
While LinkedIn is ticked, you will see its options under the channels:
-
Post through LinkedIn's API: speakers sign in to LinkedIn once and Gleanin posts the full-size image for them. This is on to start with.
-
Manual share options: the way to share by hand, for speakers who’d rather not connect their LinkedIn account. Choose Curated share, Quick share or Both.
More information on LinkedIn sharing can be found here.
Writing the suggested post
-
Under Share post, choose Same post on every channel, or A post for each channel to tailor the wording for each one
-
Write your post in Share text
-
Click Insert to choose where your destination link appears in the post
If you choose A post for each channel, Share text becomes the Default post. Click a channel’s tab to write its own post. Each channel starts from the default post and keeps following it until you change it. To go back, click Use the default post.
If Email is one of your channels, enter the Email subject too.
Destination link
-
Enter the webpage in Destination link, starting with https://
-
To add tracking codes, click Show tracking URL builder. The URL health check suggests any codes you’re missing, which you can add with Accept, or Accept all when there are several. You can also click Add custom UTM code to add your own.
Link preview
When a speaker’s link is shared, social networks can show it as a card. Under Link preview, enter the Title (up to 65 characters) and the Description (up to 155 characters). Leave a line empty to go back to the default wording. You can see the card under What a shared post looks like.
Note: Networks read the card when a link is first shared, so a change will show on posts shared from then on.
When you’re happy with your changes, click Save configuration at the bottom of the page. You will see the message Hub configuration saved.
Hub's language
The default language for your hub is set to English; however, if you are running a multinational event, you can add different languages to the hub so your speaker has the option to share in their language.
Adding a language
-
Go to the Event
-
Under Asset Hubs on the left-hand side menu, click Speaker
-
Click Languages
-
Click Add language and choose a language from the list
You will see a message confirming that the language has been added, for example, French added.
A new language starts with our standard greeting, suggested post, email subject and link preview, written in that language. Its destination link and channels are copied from your default language.
Next, please set its greeting on Greeting & branding and its share text on Share text & link, choosing the new language next to Language.
Changing the default language
-
Go to Languages
-
Click Set as default next to the language
The default language is marked Default, and you will see a message such as French is now the default language.
Removing a language
-
Go to Languages
-
Click the remove button next to the language
-
Read the confirmation message. If any assets are in that language, it lists them.
-
Click Remove language to confirm
-
You will see a message such as French removed
Note: You cannot remove the default language. To remove it, first set another language as the default.
Please keep in mind that removing a language is a permanent action. Speakers will no longer see it as an option, any greeting written for it will be deleted, and any assets in that language will be hidden from everyone. To show these assets again, open each one and move it to another language.
Changes on the Languages page save immediately, so there is no Save button on this page.
Sending your speakers their hub links
Every speaker you add to your event gets their own link to the hub. On Distribution, you can download these links for a mail merge, so each speaker gets an email with their own link.
- Go to the Event
- Under Asset Hubs on the left-hand side menu, click Speaker
- Click Distribution
- To send the links to only some of your speakers, use the filters:
- Under Participated, click Participated or Not participated yet. For example, choose Not participated yet to send a reminder to speakers who haven’t shared yet
- Under Groups, click the groups you want. This is only shown if your hub has groups
- If your mail merge greets speakers by first name, switch on Split names for mail merge
- Click Download for mail merge
The download has each speaker’s Name, Email, Groups and Hub link, and their First name and Last name if you split the names. It includes everyone shown by your filters.
To send one speaker their link, click the copy button next to their link in Hub link. You will see the message Copied to clipboard.
Note: Split names for mail merge takes the first word of a name as the first name and the rest as the last name, so please check names such as “Mary Ann Smith” before you send.
Note: If you haven’t added any speakers yet, the page is empty. Click Add your speakers to add them, then come back to download the list.
