# Speaker headshots

## In this article, you’ll learn how to add and manage your speakers’ headshots, including adding them one at a time, through a spreadsheet or in bulk, and choosing how they look in your speakers’ images.

A speaker’s headshot is placed in the images made for them, so a clear, good-sized photo makes every image look better.

### **Adding a headshot to one speaker**

**From the speakers list:**

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Speakers**
4. In the **Headshot** column:
     1. If the speaker has no headshot, click the empty image and choose a file
     2. To replace a headshot, hover over it, click the image button and choose a file

The headshot is saved straight away.

To remove a headshot, hover over it, click the bin button, then click **Remove** to confirm.

**From the speaker’s page:**

1. Click the speaker’s name, then click **Edit**
2. Under **Headshot**, click **Upload photo** and choose a file (or click **Remove** to take it off)
3. Click **Update**

You can also add a headshot when you add a single speaker.

### **Adding headshots through a spreadsheet import**

Add a **Headshot URL** column to your spreadsheet, with a web link to each speaker’s image starting with http:// or https://. Gleanin downloads each image when the speaker is imported, and the **Review** step shows a preview.

Please keep in mind that a Headshot URL only adds a headshot to a speaker who doesn’t have one yet. It doesn’t replace an existing headshot.

If an image can’t be downloaded, the speaker is still imported, and you will see a warning with the link that didn’t work.

### **Uploading headshots in bulk**

If you have your speakers’ headshots saved on your computer, you can upload them all at once. Your speakers need to be in Gleanin first.

Please have your files ready:

- JPG or PNG
- Under 5 MB each
- Named after the speaker, for example “Jane Smith.jpg”, so Gleanin can match them for you

**To upload headshots in bulk, follow the steps below:**

1. Go to the **Event**
2. Expand **Data** on the left-hand side menu
3. Click **Speakers**
4. Click **Add speakers**
5. Click **Bulk upload speaker headshots**
6. Click **Click to upload or drag and drop** and choose your files, or drag them in
7. If some files are too large or couldn’t be matched, you will see **Review warnings**. Click **Continue** to assign them yourself, or **Start over** to choose different files
8. On **Assign speakers & upload**, check the speaker chosen for each file, and use the dropdown to assign or change one
9. Click **Upload X headshots**
10. Files are shown 10 at a time. Click **Next page** to see the next ones, and repeat steps 8 and 9

When you’re done, you will see **Upload complete** with the number of headshots uploaded.

Please keep in mind that a bulk upload replaces any headshot the speaker already has.

### **Auto-crop and black and white**

You can choose how each speaker’s headshot looks in their images:

- **Auto-crop headshot:** centres the headshot on the face. This is switched on for new speakers
- **Black and white headshot:** turns the headshot black and white

**To change them for one speaker:**

1. Click the speaker’s name, then click **Edit**
2. Under the headshot, switch **Auto-crop headshot** or **Black and white headshot** on or off. The picture marked **In use** shows how the headshot will look
3. Click **Update**

These switches only appear once the speaker has a headshot.

**To change them for all speakers:** next to **Search speakers…** in the speakers list, click the contrast button (**Black & white**) or the crop button (**Intelligent crop**). Each shows how many speakers have it switched on.

Please keep in mind that these two buttons change every speaker in your event, even if you have searched the list.

### **Headshot quality**

When you edit a speaker, you can see their headshot’s file details. If the photo is smaller than 600 pixels on its shorter side, you will see a message that images drawn from it may look soft. For the best results, please upload a headshot at least 600 pixels on its shorter side.
