When it comes to displaying exhibitor logos, you have the option to choose between rectangles or circles. However, it's important to note that the files provided can come in various shapes, sizes, formats, and colours, which may not align with your own brand. To help you navigate this, we have created a comprehensive guide to assist you in setting up your exhibitor logos in the best way possible.
This guide provides technical requirements, styling options, and troubleshooting tips to ensure your exhibitor logos are visually appealing and consistent with your brand.
Technical requirements
Dimensions:
- 800x400px
- 800x450px
- 800x500px
- 800x550px
Supported file types:
- PNG
- JPG
-
WEBP
Aspect ratios:
- 2:1 - recommended one
- 16:9 (also referred to as 1.7:1)
- 1:1 - will work if blank space is added around the image
Styling
Image shape
You have two border shapes to choose from a rounded rectangle and a circle.
Any new campaigns will default to the rectangle border shape.
To change the border shape of previous campaigns, use the Single template editor and select the desired shape from the Image shape section. Remember to update all templates you intend to use.
Please remember that once the selection is made ALL of your exhibitor logos will be in the selected shape.
To allow exhibitors to choose, create two themes: one with a rectangular border shape and the other with a circle.
To make sure that the new images are showing in the correct format on your Exhibitor screen, you will need to manually apply the filter to see this reflect on the account.
To do this:
- From the left-hand side, menu click on Data
- Click on Exhibitors
- Click on the cog icon in the top-right corner of the table
- Switch the logo border shape to a rounded rectangle
- Click Save
NOTE: This will not make any changes to the templates and this is only for preview purposes.
Background
For the PNG files with transparent backgrounds, you can use any colour as a background however, please remember to use the one that will make the logo visible (ie. do not use white on white):

For the JPG & WEBP files with a defined background (usually white), it's essential to set the background colour the same as the JPG image as different background colour might not look good:

Border removal
- you can either choose the same colour for the background and the border
- or you can set your background and border colour to transparent
Troubleshooting
Incorrect crop (circle shape only)
To fix exhibitor logos being cut in a circle border shape, edit the file before uploading. Ensure it is in the approved aspect ratio (change square to rectangle) and add padding around the text or image.
Avoid excessive padding as it will shrink the logo or text inside the circle.

Adding logos manually
If all your exhibitor logos are stored locally on your device you can upload them manually into the platform.
To add the logos
- Go to Exhibitors
- Click on the image icon in the Logo column
- Choose the file from your device
Please bear in mind that bigger-size files will take a bit longer to process and upload.
Adding logos in bulk
If you have your headshot jpg/png files on your PC, you can bulk upload them into the platform. For this to work, you will need to ensure that you already have speaker details bar images on the platform.
- Click on Exhibitors on the left-hand side menu
- Click on the plus icon
- Select Bulk upload exhibitor logos card
- Add images by:
- selecting them on your device and dragging them into the designated box on the platform
- clicking on browse to select the files from your computer
- If filenames closely match the exhibitor name, our system automatically matches images. Otherwise, manually select the exhibitor from the dropdown list.
- Once all is checked and looking good, click on Finish to process the upload.
Adding logos using logo URLs
When adding exhibitor logos during the data upload process, it is important to have URLs that link to those images. After the images are uploaded, we create a copy to ensure they remain visible even if the original image is removed from the website or social media.
If this section feels familiar, you are correct as the process to obtain URLs is the same for both speakers and exhibitors.
Depending on where your images are stored, you will need to follow specific processes to find the image URLs.
Websites and social media
If your exhibitor logo is available on their website or social media, you can right-click on that image to generate the direct URL that you can then add to your spreadsheet.
- Go to the website or social media site with an image.
- Right-click on the chosen image and choose Copy image address.
- Paste it into your spreadsheet.
Cloud storage services
Due to the nature of the cloud storage and sharing system, you will need to generate the links to the images individually to get them into the spreadsheet.
For Google Drive links please follow the steps below as unfortunately, the URLs are not auto-converted like for the speakers:
- Double-check that the files provided are in the .jpg, .png or .wepb
- Make sure the files are available on the internet to anyone with the link, you do this with the "Get link" option on google drive.
- Make sure you have set it so anyone with the link can view
- Paste your link into a notepad (or other text editing app) so that you can edit it.
- Each file has a unique file ID in the link, this is the text between d/ and /view:

https://drive.google.com/uc?id=LONG_UNIQUE_IDENTIFIER/view?usp=sharing - Now remove the section after the file ID, including /view and replace it with &export=download in place of the text you have removed. This is what it should look like afterwards:

In both instances, if you do not have those links already we recommend uploading the logos manually after the exhibitors have been created.
We cannot guarantee that links from other cloud storage solutions like iCloud or OneDrive will work.
