Checklist for successful speaker campaign set up and management

If anything below is confusing or you need any help, please let us know, get in touch at hello@gleanin.com

  • Choose your speaker campaign template (multiple choices)
    • Make sure you carefully review and select the speaker campaign template best suited to your needs
  • Make sure your campaign images include
    • Event name
    • Dates
    • Venue
  • If you are intending to use a custom background image for your campaign, you’ll need to design the background around the Gleanin fields - more advice is here
  • If you want to track conversions for this campaign, make sure that:
    • Gleanin conversion tracking is set up for the campaign and/or
    • Use your own campaign UTM tracking code/link as your destination URL
    • PRO subscribers have the option of uploading your own custom destination URLs for each speaker e.g. so that your speakers can promote unique discount codes or custom registration pages
  • Edit the “Channel & Post Suggestions”:
    • Make sure ALL the sharing channels you want to offer your speakers are enabled
    • Make sure you have checked/edited the suggested post text for each channel and include hashtags were relevant
    • TIP: Don’t be tempted to add “marketing” content to the email text - emails that your speakers send via the Gleanin campaigns are authentically sent by the speaker directly to someone they know (e.g. it will open up their own Outlook/Gmail)
  • Edit the share tool (this is what each speaker will be using to share their image/s):
    • You’ll be editing the “splash screen” of the share tool (landing page)
    • Make sure it’s on brand and the messaging is on point
  • Bulk upload your speaker and session data (IF using one of the Speaker/Session campaign templates)
    • Bulk uploading speakers AND sessions? Use the “combined upload” which you’ll find under “data” in the left hand menu
    • Only bulk uploading speakers e.g. using the Meet the Speaker template? Use the “speaker” upload, which you’ll find under “data” in the left hand menu
    • Speakers/sessions can be uploaded individually if required, via “speakers” and/or “sessions” in the left hand menu
    • Spot check some of the speaker images to make sure you are happy with how they look with speaker/session details added - click into a few of your “speakers” and scroll down to “image preview” (tip: make sure you have the right campaign selected on the preview to see the relevant image preview)
  • Generate your individual speaker share tool links
    • Go to your speaker campaign page, click on “How to run my campaign” and download your speaker share tool links
  • Send your speakers their share tool links - here’s some advice here around getting your speakers engaged in the process
  • Keep your speaker images up to date:
    • Make edits to your existing speakers and/or sessions as you go
    • Edits made to existing speakers/sessions will dynamically update the images speakers see in their individual share tools (no need to send new links/images)
    • Add new speakers and/or sessions or delete speakers and/or sessions when necessary
    • Don’t forget you’ll need to send brand new speakers a link to their share tool
