Whenever you create a new theme for your campaign, by default, our system creates multiple templates with different variations, including headshots, multiple speakers, etc., in both landscape, portrait and story aspect ratios that you can then share with your stakeholders for them to share with their networks.
You can customise them, download them, hide the variations that you don't want your stakeholders to share or delete the whole sets.
Please remember that portrait and story templates will only be visible to your stakeholders if the Instagram sharing option is chosen.

Hiding templates
If there are specific types of images that you prefer not to be shared by your community, you have the option to hide those templates.
When you hide a template, it will be removed from the share tool and will appear greyed out on the templates page. This can help your design team focus on the templates that will actually be used.
Please make sure that if you choose to hide no-headshot templates all of your speakers have images provided otherwise, their share link will have no assets to choose from.
To hide a template:
- Go to the Campaign in question
- Select the Themes tab
- Click on the pencil icon
- Choose Individual image templates from the edit menu and click Next
- On the template preview screen click on the eye icon to hide a template from the campaign
All templates are hidden in sets of three. Therefore, if you choose to hide the two-speaker panel session without an image, it will automatically hide the landscape, portrait, and story templates as well.
Once the templates are hidden they will be greyed out. To include them in your campaign, simply click the eye icon again to unhide them.
Deleting templates
If you have created an unnecessary template or made a mistake during the creation process, you can remove it from your Gleanin account. However, please note that individual templates cannot be deleted; instead, you must delete the entire theme that contains the template in question.
Please note that to delete a theme, you MUST have at least one left available to use.
To delete an additional template:
- Go to your Campaign dashboard
- Select the Themes tab
- Find the Theme that you would like to delete
- Click on the Trash icon to the right of the pencil edit icon
- Click Delete on the confirmation pop-up
Downloading templates
You can choose to download the templates you have created using Gleanin. This feature enables you to effortlessly share them with your community through other channels while maintaining consistency across all assets.
To download the templates from the Attendee campaign:
- Go to the campaign in question
- Under Themes, click on Download
- Choose if you want to download the landscape, portrait or story asset
- Once the download has finished, you can find them in your usual Download folder
NOTE: If you want to download all three landscape, portrait and story, you will need to download them separately.
To download templates for Speakers/Exhibitors:
- On the left-hand side menu, click on Speakers/Exhibitors
- Click on the Speaker/Exhibitor name
- Use the drop-down under Participating in tile to select which session/panel you want the asset for (if you have sessions/talks)
- Under Image previews, select the campaign that you want the assets for (if you have multiple campaigns)
- Hover over the desired asset and click on Download
- Once the download has finished, you can find them in your usual Download folder
Please note that you are unable to download multiple assets for a specific speaker or all of the speakers at once. Each download must be done individually.
If you cannot find any assets in the Image previews section, please verify that you have selected the correct session and campaign. Also, check that the necessary templates have not been hidden, as this could prevent the assets from being displayed.
