Using a custom background

When creating assets for your campaigns, you have the option to upload and use a custom background. How you can use it depends on the type of campaign you are creating this for; however, there are standard rules and requirements for the background itself.

Dimensions

Depending on the social media platform that you want to choose, you will need to make sure that the custom background size is right for it: 

  • Landscape (LinkedIn, Facebook & WhatsApp) - 1200 x 628 px
  • Square (Instagram) - 1040 x 1040 px
  • Story (Instagram) - 1080 x 1920 px

File types

Speakers, Exhibitors and Attendee campaigns (both landscape and square):

  • jpeg (max. 4MB)
  • png (max. 4MB)
  • webp (max. 4MB)

Attendee campaign (landscape only - Instagram & Facebook don't support .gif files)

  • GIF (max. 4MB)

Note that it's important to ensure that all text is visible on the first frame, as this will be displayed on Facebook due to the restrictions mentioned.

Instagram templates

Please note that if you plan to share your content on Instagram, you must upload separate files for the specified dimensions, as our system does not automatically resize or crop landscape images to fit a square format, and vice versa. 

16:9 template

To add the Instagram Story template to your campaign, enable it in the Channel section of the dashboard. For existing campaigns, you will need to create a completely new theme with the story option selected.

4:5 grid preview 

For Instagram's 4:5 aspect ratio, we have adjusted the default positioning of elements on the square templates to ensure that nothing is cut off in the preview. 

To view how your square template will appear in the 4:5 grid ratio, select the corresponding option in the template editor (available for speaker and exhibitor campaigns only).

Design & styling

Plain & gradient backgrounds

When using Gleanin Theme to design your images, you will be able to use our predefined elements like headshot image, logo, title etc. and if you are using a plain colour or gradient background with no elements on it, regardless of the campaign type, you can just upload that image without any extra cautions. 

We suggest using either an overlay or a dimmer colour to have a nice contrast with the elements and text. 

Attendee campaign 

If you are using an Attendee campaign to spread the word about the event, you can completely bypass using any of the predefined elements in the Gleanin Theme builder and just use your fully design custom background. 

Please make sure that the size is correct for the social media used and that you have them in the correct size and format - .jpg, .png and .gif (for landscape backgrounds only).

If you opt for Quick Share on LinkedIn, be sure to follow the advice in this guide when creating your background design for optimal results.

To use the custom background only option:

  1. Go to your Campaign dashboard. 
  2. Click on the Theme tab
  3. Click on the pencil icon and choose Theme from the edit menu
  4. On the theme design menu, expand Custom background and tick the Use only background image box.Screenshot 2025-06-06 at 06.54.06
  5. This will hide all the extra system elements from the template.

Speaker & Exhibitor campaigns

It's possible to use a customised background for the speaker & exhibitor campaigns.

In both cases, you will need to design that background around Gleanin fields, which will be added to your image however, you can make that easier by hiding those elements or not uploading your logo if you already have that in your background.

If you want to hide Gleanin elements from your template:

  1. Go to your Campaign dashboard.
  2. Click on the Theme tab
  3. Click on the pencil icon and choose Theme from the edit menu
  4. On the Theme design menu, you can simply click on the eye icon to hide the Gleanin elements. Screenshot 2025-06-06 at 06.56.16
  5. If the element has been hidden, the eye icon will become greyed out and the element will be hidden from the preview on the right-hand side.Screenshot 2025-06-06 at 06.56.58
  6. To bring the element back onto the template, you can just click on the greyed-out eye icon again.
