You can manage your Gleanin subscription easily through the Subscription & Settings menu, where you can upgrade your plan, update billing details, change billing terms, add users, and pause, or cancel your subscription.
Activating your subscription
If you have found Gleanin useful and are ready to subscribe, you can easily upgrade from a trial to Paid subscription.
- Click on Subscription & Settings on the left-hand side menu.
- Choose payment frequency by selecting the Monthly or Annual tab.
- Choose your subscription by ticking the box next to the available Basic or Pro option.
- Once selected click on Subscribe which will open a pop-up with your selection.
- Click on Proceed to Checkout
- Add your billing address and payment details and click on Next
- Once the payment goes through, your subscription will update instantly.
Updating details
If you need to update any of the billing details - address, contact or payment - you can do it yourself from the subscriptions & settings page
- Click on Subscription & Settings on the left-hand side menu.
- Click on the Payment & Billing tab:
- Billing address - click on edit to update the billing contact and the address - please make sure that it will match the billing address of the used payment method
- Payment method - click on update payment method to change, add new or add backup credit card details. Please note that bank transfers and invoice payments are available on annual plans only and need to be requested via hello@gleanin.com.
Billing history
To view your billing history and download your invoices/receipts for Gleanin products:
- Click on Subscription & Settings on the left-hand side menu.
- Under Billing click on billing history:
- On the pop up you will see the list of invoices and receipts
- You can click on download to save the PDF to your device
Billing cycle changes
To switch your billing frequency between monthly and annual, you have the flexibility to make this change directly within the Subscription & Settings menu.
To change from monthly to annual:
- Go to Subscription & settings from the left-hand side menu
- Under the Billing period select Annual
- At the bottom of the screen under Subscription changes on the left side you will see your current subscription costs (including add-ons) and on the right side you will see a preview of your new costs
- If you are happy with the new total, click on Review changes
- On the next screen, you will see the total breakdown of the cost and the date when the change will take place (the end of your current billing period).
- Click Confirm to finish.
To change from annual to monthly:
- Go to Subscription & settings from the left-hand side menu
- Under the Billing period select Monthly
- At the bottom of the screen under Subscription changes on the left side you will see your current subscription costs (including add-ons) and on the right side you will see a preview of your new costs
- If you are happy with the new total, click on Review changes
- On the next screen, you will see the total breakdown of the cost and the date when the change will take place (the end of your current billing period).
- Click Confirm to finish.
In order to successfully switch from an annual to a monthly billing cycle, it is necessary to have card details already added to your account. If you do not have them on file, you will have the opportunity to input them before finalising the change.
Extra seats
By default, the Basic subscription includes one seat, while the Pro subscription includes five seats. If you require additional seats beyond your allotted amount, you have the option to add them as needed.
To add extra seats:
- Go to Subscription & settings from the left-hand side menu
- Under the Add-ons click on the plus icon to add additional seats.
- At the bottom of the screen under Subscription changes on the left side you will see your current subscription costs (including add-ons) and on the right side you will see a preview of your new costs
- If you are happy with your new cost, click on Review changes
- On the next screen, you will see the total breakdown of the cost and the prorated amount for the remainder of your current billing period that will be charged immediately to your default payment method to complete adding the seats.
- Click Confirm to finish.
To remove any extra seats that have been manually added:
- Go to Subscription & settings from the left-hand side menu
- Under the Add-ons click on the "-" icon to add additional seats.
- At the bottom of the screen under Subscription changes on the left side you will see your current subscription costs (including add-ons) and on the right side you will see a preview of your new costs
- If you are happy with the new total, click on Review changes
- On the next screen, you will see the total breakdown of the cost and the date when the change will take place (the end of your current billing period).
- Click Confirm to finish.
Plan changes
If you wish to change your plan level, whether upgrading or downgrading, you have the ability to do so within the account section.
To upgrade to Pro
- Go to Subscription & settings from the left-hand side menu
- Under Plan, select Pro
- At the bottom of the screen under Subscription changes on the left side you will see your current subscription costs (including add-ons) and on the right side you will see a preview of your new costs
- If you are happy with the new total, click on Review changes
- On the next screen, you will see the total breakdown of the cost and the date when the change will take place (the end of your current billing period).
- Click Confirm to finish.
If you have added extra seats to your Basic plan but do not exceed a total of 5 users, be sure to remove them when upgrading. These seats will remain available until the end of your current billing cycle, as downgrades can only be made at the end of the billing period.
To downgrade to Basic:
- Go to Subscription & settings from the left-hand side menu
- Under Plan, select Basic
- At the bottom of the screen under Subscription changes on the left side you will see your current subscription costs (including add-ons) and on the right side you will see a preview of your new costs
- If you are happy with the new total, click on Review changes
- On the next screen, you will see the total breakdown of the cost and the date when the change will take place (the end of your current billing period).
- Click Confirm to finish.
After downgrading to a Basic subscription, please note that it includes only one seat. You will have a grace period after the current billing cycle ends to decide which user accounts to remove. If you wish to retain more than one seat, you can purchase additional seats to meet your needs.
Before making any additional changes to your subscription, please ensure that any pending changes have been removed.
Changes to your subscription plan will take effect immediately for upgrades, while downgrades and changes to the billing cycle will occur at the end of the current term. Pausing subscription
When you pause your subscription, your event data will be archived, and you will not be able to access any of your account data until the subscription resumes. Any active campaigns at the time will be deactivated and archived too.
Please make sure that if you want to pause the subscription you must do it before your upcoming renewal date. You won't be able to pause your subscription for consecutive periods, but you can pause an active subscription at any time.
As soon as a paused subscription reactivates, the credit card on the account is charged, and your access is immediately resumed. You will find your old event and campaign data in your archive.
You can resume your subscription at any time during the pause period, on-demand. If not resumed early, your paused subscription will automatically reactivate on the date you have chosen when setting the pause up.
You'll receive an email reminder 5 days before your paused subscription is due to automatically reactivate.
To pause your subscription:
- Click on Subscription & Settings on the left-hand side menu.
- Under Your subscription click on Manage subscription
- Select Pause subscription
- Using the dropdown choose for how long you want to pause your subscription (up to 6 months).
- Provide the reason for the pause.
- To proceed click on Pause.
- You will see the pause confirmation at the top of the pop-up. You can close the window to proceed with the pause or click on Remove schedule pause if you paused by mistake.
Note: once the pause is scheduled and in place, every time you will go to the Subscriptions & Settings screen you will see an info box with a reminder about the pause.
To unpause your subscription:
- Click on Subscription & Settings on the left-hand side menu.
- Under Your subscription click on Resume subscription
- Resuming your subscription will charge your card immediately and to confirm click Resume
Note: if you have unpaused but you still see the blue info banner in the Subscriptions & Settings screen, please wait a few minutes for this info to be updated.
Cancelling subscription
If you are sure that Gleanin is not a good product fit for your company and pausing the subscription is not an option you can cancel your subscription from the Subscriptions & Settings. To prevent any further charges, it is important to schedule the cancellation before the upcoming renewal date.
At the end of your billing cycle, all your events will be archived and you will have a two-week window in which you can re-activate the account. After this time all events and campaigns will be fully deleted.
To cancel subscription:
- Click on Subscription & Settings on the left-hand side menu.
- Under Your subscription click on Manage subscription
- Click on the Cancel subscription
- On the next screen, you will see the notice that your data will be deleted and will be asked to choose the cancellation reason - to make our services and product better we would appreciate if you can leave any extra feedback on why you have decided to cancel.
- Click on Confirm cancellation to proceed.
- Your subscription will remain "active" until the next billing cycle.
To cancel whilst the subscription is paused:
- Click on Subscription & Settings on the left-hand side menu.
- Under Your subscription click on Cancel subscription
- Select cancellation reason from the dropdown.
- Enter your e-mail address to confirm cancellation.
- Click on Confirm cancellation.
