After setting up your speaker or exhibitor campaign and uploading their information, it's important to provide each participant with a unique share tool link.
These links will be used by them to highlight their attendance at your event.
Generating share tool links for speakers
Once your speaker data is uploaded and your speakers are automatically assigned to a campaign, you can generate their unique share tool links by following the steps below:
- Go to the campaign for which you want links generated.
- Click on the Run campaign button.
- In the Mail merge links section, you will find a list of all your speakers along with their unique share tool links.
If you want to generate links for a specific speaker or a group of speakers on a specific campaign, you will need to assign them to that campaign first via tracks (if you have sessions) or manually through groups and then use the filter in the mail merge links section.
To share the generated links with your speakers, you will need to download them from your campaign first by following the steps below:
- Click on the Run campaign button.
- Before downloading, you can choose if you want to:
- Split names for the mail merge - this will split each speaker's name on the first space for use in a mail merge; please review your file after downloading and make any necessary adjustments.
- Skip splash screen - this will skip the splash screen and take the speakers directly to the "choose image to share" screen.
- Click on the Download links button on the right-hand side.
Once the links are downloaded, you will need to use your CRM or any preferred communication method to share the links with your speakers, encouraging them to use the tool to promote their session. You are unable to send these links directly from Gleanin.
We recommend that the email be sent by someone who has an established relationship with the recipients, such as your conference producer. Be sure to emphasize how simple the process is — there is no need for login or downloads, and it only takes a few moments for them to share a personalised image of their choice across any or all of their social media platforms.
Generating share tool links for exhibitors
Similarily to the speaker campaign to generate the unique share tool links for each exhibitor, you will need to follow the steps below:
- Go to the campaign for which you want links generated.
- Click on the Run campaign button.
- In the Mail merge links section, you will find a list of all your exhibitors along with their unique share tool links.
If you want to generate links for a specific exhibitor or a group of exhibitors on a specific campaign, you will need to assign them to that campaign individually or through groups and then use the filter in the mail merge links section.
After the links have been generated, you can easily share them with your exhibitors. To do this, first download the links from your campaign, then distribute them to your exhibitors by following the steps outlined below:
- Go to the campaign for which you want links generated.
- Click on the Run campaign button.
- Before downloading, you can choose if you want to:
- Skip splash screen - this will skip the splash screen and take the exhibitor directly to the "choose image to share" screen.
- Click on the Download links button on the right-hand side.

Generating a share tool link for an attendee campaign
In attendee campaigns, we provide a single shareable link instead of personalised links for each participant.
- Go to the campaign for which you want links generated.
- Click on the Run campaign button:
- You have two options to choose from before using this link:

- If you want to display the splash screen and greeting at the beginning, copy the Splash screen version or;
- If you want to bypass it entirely, allowing users to proceed directly to the image selection screen, copy the Image selection version.
You can directly incorporate a link to the Gleanin share tool in your confirmation emails or other communications with attendees.
You can use this link for a pop-up or embed it on your confirmation pages.
Links not being generated
There may be instances where links are not generated despite completing all the required steps. This issue can stem from a few potential factors, so it’s crucial to verify that the following actions have been taken:
- For speakers and session campaign types, it is essential to ensure that all speakers are assigned to a session. If any speaker is not assigned to a session, their unique share tool link will not be generated.
- If you have opted to hide certain image templates, such as non-headshot images for speakers or no-logo images for exhibitors, ensure that all necessary images are uploaded. Links can only be generated if the images have been successfully created.
