Adding headshot images to your speaker records is a simple and effective way to personalise them. By including headshot images, you can enhance the visual appeal of your speaker profiles and make them more engaging for your audience.
Whether you choose to add the images manually or through the use of Headshot URLs, the process is straightforward.

Adding images manually
If you do not have the URLs for the headshots or if you prefer not to use them, you have the option to leave the headshot column empty during the upload process. You can then add the speaker images later on from your local device.
- Click on Speakers on the left-hand side menu
- Paste the data from your spreadsheet without Headshot URLs
- Double-check if all is correct and click on Add all speakers
- Click on the Image icon in the Headshot column
- Choose the file from your local device
Please bear in mind that bigger-size files will take a bit longer to process.
Bulk upload speaker headshots
If you have your headshot jpg/png files on your PC, you can bulk upload them into the platform. For this to work, you will need to ensure that you already have speaker details bar images on the platform.
- Click on Speakers on the left-hand side menu
- Click on the plus icon
- Select Bulk upload speaker headshots card
- Add images by:
- selecting them on your device and dragging them into the designated box on the platform
- clicking on browse to select the files from your computer
- If filenames closely match speaker names, our system automatically matches images. Otherwise, manually select the speaker from the dropdown list.
- Once all is checked and looking good, click on Finish to process the upload.
Please note that the file names must be as close to the speaker name as possible due to the "fuzzy match" limitations ie. FirstNameLastName and if the files are downloaded from the website etc. please make sure that all unnecessary characters are removed ie. John-Doe-3TLl_97HNJo-companywebdownload needs to be JohnDoe.

Adding speaker images using Headshot URLs
When adding speaker images during the data upload process, it is important to have URLs that link to those images. After the images are uploaded, we create a copy to ensure they remain visible even if the original image is removed from the website or social media.
If your images are not in a headshot format, there's no need to worry. Our platform utilizes special facial recognition software that can identify the face and crop the image to a head and shoulders shot. However, please ensure that the images are in either .jpeg, .png, or .webp format and have a minimum size of 400x400 pixels.
Depending on where your images are stored, you will need to follow specific processes to find the image URLs. It's important to note that in certain situations, it may be faster to skip using Headshot URLs during the data upload and instead manually upload the images later on.
Websites and social media
If you have an image of your speaker on your website or are pulling it from social media, you can right-click on that image to generate the direct URL that you can then add to your spreadsheet.
- Go to the website or social media site with an image.
- Right-click on the chosen image and choose Copy image address.
- Paste it into your spreadsheet.
Cloud storage services
Due to the nature of the cloud storage and sharing system, you will need to generate the links to the images individually to get them into the spreadsheet.

In both instances, if you do not have those links already we recommend uploading the images manually after the speakers have been created.
We cannot guarantee that links from other cloud storage solutions like iCloud or OneDrive will work.

Updating speaker images
If your speaker has changed their headshot and you want to update it in the platform you can do it easily.
- Go to Speakers
- Hover over the speaker headshot in question
- Click on the edit pencil icon
- Click on Change image on the modal
- Select the file from your device
- Click Done

Our Intelligent crop feature takes the hassle out of manually cutting out speaker headshots. Powered by face-detection technology, it can accurately crop headshots of your speakers, even if there's a complex background in the photo. This saves you time and ensures cleaner speaker images for a better attendee experience.
The Intelligent crop feature is automatically applied to your photos after the upload, but you can easily make changes if needed. We recommend that image files are at least 400x400 pixels to ensure good quality in the templates.
Applying changes in bulk
If you want to remove the intelligent crop from all the photos, you can do this, by choosing the Image menu and clicking on No cropping.
From the image menu, you can choose as well the colour for your images by clicking on Black & white or Colour.
Please bear in mind that if your images are black & white by default the colour feature won’t work and you have to have images in colour to use the black & white option.
Editing individual images
You can always change the settings for individual photos if, for example, the crop didn’t work well or they are better in black & white, by hovering over the specific image and choosing the image menu.
All the photo changes will be populated across your templates so make sure that colour changes will still fit with your template designs.
Deleting speaker images
If any of your speaker doesn't want you to use their headshot you can simpy delete the image from their record.
- Go to Speakers
- Hover over the headshot in question
- Click on the bin icon to delete the image
Please remeber to make sure that you do not have "no headshot" templates hidden as that will cause an issue for the speaker and they won't be able to share.
